Getting started
Yes — Our Vow Story is free to start with no credit card required. You can manage your guests, budget, suppliers, seating plan, and tasks all on the free plan. We may offer optional premium features in the future, but your core wedding planning will always be free.
Once you've created your wedding, go to Settings → Collaborators and enter your partner's email address. They'll receive an invitation to join your wedding workspace. Both of you will have full access to edit and update everything in real time.
Absolutely. Our Vow Story is fully responsive and works great on any device — phone, tablet, or desktop. Simply visit app.ourvowstory.com in your mobile browser. No app download is required.
After signing up, you'll be guided through a short setup wizard where you can enter your wedding date, venue name, and estimated guest count. You can also update these at any time from Settings → Wedding details.
Of course! Many couples join Our Vow Story after they've already started planning. You can import your existing guest list via CSV, enter your confirmed suppliers, and use the seating planner right up to your wedding day. It's never too late to get organised.
Guest management
Go to Guests in the main menu and click Add guest. You can add guests one by one, or import a whole list at once using a CSV file. Each guest can have a name, email, RSVP status, dietary requirements, and notes.
Yes. Each guest has an RSVP status — Invited, Attending, Declined, or Pending. Your dashboard gives you a live count of confirmed attendees, helping you keep track at a glance. You can update RSVP statuses manually as responses come in.
In the Guests section, click Import CSV. Your file should have columns for first name, last name, and optionally email and dietary requirements. You can download our template to make sure the format is correct before importing.
Yes — you can assign guests to groups (e.g. Family, Friends, Work colleagues) to make filtering easier. Guests are also automatically linked to their table once you assign them in the seating planner.
Budget & payments
Go to Budget in the main menu and click Set total budget. Enter your overall figure and Our Vow Story will track your spending against it as you add supplier costs and payments. You can update your total at any time.
Yes. Each budget item has a Payments tab where you can log deposits, instalments, and final payments. The budget tracker shows you what's been paid, what's outstanding, and when the next payment is due.
Absolutely. Budget items are organised by category — Venue, Catering, Photography, Flowers, Music, Attire, and more. You can see a breakdown of spending by category, which makes it easy to spot where you're over or under budget.
Suppliers & vendors
Navigate to Suppliers and click Add supplier. You can record the supplier's name, category, contact details, quoted price, booking status, and any notes. Once booked, link the supplier to a budget line so everything stays in sync.
Yes — each supplier has a status: Researching, Enquired, Quoted, Booked, or Cancelled. Your dashboard surfaces any key suppliers that still need confirming so nothing slips through the cracks.
Document storage is on our roadmap. For now, we recommend using the notes field to record key contract details (deposit amount, cancellation terms, key dates) and keeping original documents in Google Drive or a similar service.
Seating planner
The seating planner lets you create named tables, set the number of seats per table, and drag guests from your guest list into seats. Unassigned guests are shown in a sidebar so it's easy to see who still needs placing. Changes save automatically.
Yes. From the seating planner, click Export to download a PDF or CSV of your seating assignments. The PDF layout is clean and ready to share with your venue or caterer.
When you mark a guest as Declined in the guest list, any seat they were assigned will be flagged as empty in the seating planner. You can quickly reassign the seat to another guest or leave it empty — the plan updates in real time.
Timeline & AI planning
The timeline is a schedule of every event on your wedding day — from morning preparations to the final farewell. Each event has a start time, duration, location, and can be linked to a supplier. You can print it and share it with your wedding party so everyone knows exactly where to be and when.
Go to Timeline in the sidebar and click Add event. Fill in the event title, start time, duration, location (optional), and which supplier is involved (optional). Events are automatically sorted chronologically. You can edit or delete any event at any time.
AI timeline generation creates a complete, realistic wedding-day schedule for you in seconds. Click Generate timeline on the Timeline page and the AI will read your wedding date, event names, locations, and all of your suppliers to build a personalised draft schedule — covering everything from getting-ready through to the last dance. Events stream in one by one as the AI generates them so you don't have to wait. Review the draft, remove anything that doesn't apply, then click Add to timeline to save everything at once.
AI timeline generation is a premium feature available on the Standard plan. The full Timeline page (where you can add and manage events manually) is also a Standard feature. Upgrade at any time in Settings → Billing — there's no long-term commitment and you can cancel whenever you like.
No — it always adds to your timeline, never replaces it. Generated events appear in a preview first, where you can delete individual ones before saving. Only the events you approve are added, and they sit alongside any events you've already created manually.
Account & settings
Go to Settings → Account and select Change password. You'll need to confirm your current password before setting a new one. If you've forgotten your password, use the forgot password link on the sign-in page.
Go to Settings → Data & privacy and click Export all data. You'll receive a ZIP file containing your guest list, budget, supplier details, seating plan, and tasks — all in CSV format. We believe your data is yours, always.
Go to Settings → Data & privacy and scroll to Delete account. This will permanently remove your wedding, all associated data, and your account. This action cannot be undone. We recommend exporting your data first.
Absolutely. All data is encrypted in transit and at rest. We never sell or share your personal data with third parties. You can read the full details in our Privacy Policy. If you have specific security questions, please get in touch.
